Purposes and Legal Bases
We process your personal data for the following purposes:

  1. Event participation and administration (e.g., registration, attendance management, logistics, billing, post‑event follow‑up).
    Legal basis: performance of a contract (Art. 6(1)(b) GDPR) and, where necessary for event safety/operations, legitimate interests (Art. 6(1)(f) GDPR).
  2. Event marketing and promotion by the Chamber (e.g., newsletters, invitations, updates, surveys, and selected photos/videos from events used for Chamber communications).
    Legal basis: your consent (Art. 6(1)(a) GDPR). Consent is voluntary and not a condition for participating in an event.
  3. Promotion of members’ events (where relevant).
    Legal basis: consent (Art. 6(1)(a) GDPR) or legitimate interests (Art. 6(1)(f) GDPR) where appropriate and permitted by law, always with a clear opt‑out in every message.
  4. Website operation and security (e.g., logs, abuse prevention).
    Legal basis: legitimate interests (Art. 6(1)(f) GDPR).

Categories of Personal Data
Identification and contact details (e.g., name, company, position, email, phone), event selections and preferences, invoicing details (where applicable), communication preferences, and—if provided—links to professional profiles (e.g., LinkedIn). Event photos/videos may depict attendees.

Recipients (Who We Share Data With)

  • Service providers (processors) supplying IT, mailing, event, hosting, and payment services under written data‑processing agreements.
  • Chamber members (as recipients) only where you have consented or where legitimate interests apply and local law permits; in such cases, we share limited contact data for a specific, compatible purpose and always provide an opt‑out.
  • Public authorities or advisers where required by law or to establish, exercise, or defend legal claims.

International Data Transfers
If your data are transferred outside the EU/EEA (or to the UK), we implement appropriate safeguards such as the European Commission’s Standard Contractual Clauses (SCCs), supported by transfer risk assessments and supplementary measures where needed. Retention Periods

  • Event administration data: typically retained up to 5 years after the event (or longer where accounting/tax law requires).
  • Marketing (consent‑based) data: retained until you withdraw consent or object; afterwards we delete or anonymize without undue delay, subject to keeping minimal suppression records to honor your opt‑out.
  • Visual materials (photos/videos): retained while relevant for Chamber communications unless you object or, where consent is used, you withdraw consent.

Your Rights
You have the right to access, rectify, erase (right to be forgotten), restrict processing, object to processing (including direct marketing or legitimate‑interest processing), and data portability. Where processing relies on consent, you may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.

You may lodge a complaint with the Office for Personal Data Protection (ÚOOÚ), Pplk. Sochora 727/27, 170 00 Prague 7 – Holešovice, Czech Republic.
